01. Who looks after your information
D&P Upholstery is the trading name of BEECHWOOD SOFAS LIMITED, company number 05248879, registered in England and Wales. We are the controller of the personal information described in this notice.
Our registered office is 52 Elmsleigh Gardens, Cleadon, Sunderland, Tyne and Wear, SR6 7PU. Our workshop and correspondence address is 320F Mayoral Way, Team Valley, Gateshead, NE11 0RT. For a privacy question or request, email info@dp-upholstery.co.uk, call 0191 487 5017, or write to the workshop, marking your message “Privacy”.
This notice covers this website, furniture enquiries and the related correspondence we use to discuss and arrange work. It does not cover the separate privacy practices of websites you visit through external links.
02. What we collect
- Enquiry details: your name, email address, telephone number, postcode, the service you are interested in, your message and any inspiration link or project reference you supply.
- Commercial enquiries: your company name, business contact details, descriptions of the work and quantities of covers or seating.
- Photographs: the furniture images you choose to upload. Images can also contain location or device metadata, people or identifying details in the background.
- Correspondence: information exchanged when we answer questions, prepare an estimate, agree a project or help with aftercare.
- Technical information: our website and hosting services may process connection details such as IP address, browser, requested page and time of access to deliver and protect the website. The enquiry form uses a short-lived hashed network identifier to limit repeated submissions.
- Optional campaign information: if you allow analytics or advertising, we can record campaign labels, the landing page path and referring website alongside an enquiry. We do not use this to make decisions with legal or similarly significant effects.
- Your cookie choice: a preference and expiry date stored in your browser, as explained in our Cookie policy.
We normally receive this information directly from you. A business contact may provide details of a colleague involved in a project. Please only share someone else’s information if you are entitled to do so.
Required form fields are marked. We need enough information to understand your request and contact you; without it we may be unable to respond. Photos and additional project references are optional. Please photograph the furniture only, remove unnecessary location metadata where possible, and avoid people, confidential paperwork, payment details or sensitive information.
03. Why we use it
| Purpose | Our lawful basis |
|---|---|
| Responding to a personal enquiry, preparing an estimate and discussing work you ask us to undertake | Taking steps at your request before entering a contract, and performing a contract where one is agreed |
| Handling enquiries on behalf of a business, general questions and relevant project correspondence | Our legitimate interests in running the business, communicating with customers and providing an appropriate service |
| Keeping the website working, preventing spam and investigating misuse | Our legitimate interests in maintaining a secure, reliable service |
| Keeping records required by law or dealing with a legal request | Compliance with a legal obligation |
| Keeping relevant records to resolve complaints or establish, exercise or defend a claim | Our legitimate interests in resolving disputes and protecting legal rights |
| Optional website analytics, advertising measurement and campaign attribution | Your consent, which you can withdraw through Cookie preferences |
The form acknowledgement confirms that you have seen this notice; it does not subscribe you to marketing. Optional analytics and advertising measurement operate only where configured and after the relevant cookie choice. The form does not run a newsletter signup or automated decisions with legal or similarly significant effects. We do not sell enquiry information.
04. Where your enquiry goes
Submitted enquiries are saved in our WordPress enquiry inbox and sent to our enquiry email address. When the website-to-workflow connection is enabled, enquiry details, commercial requirements, furniture photograph links and permitted campaign information are also delivered to our separate workflow system. The team members who need the information can use it to respond, follow up, prepare a quote and organise the requested work. Temporary delivery copies support retries if the workflow cannot be reached; the full delivery copy is removed from the queue once receipt is confirmed. Our hosting, website support, email and backup providers may process it to provide those services. Professional advisers, insurers or public authorities may receive relevant information where necessary for a legal obligation, advice or a dispute.
Uploaded photographs are saved as website upload files with unlisted, randomly named URLs. These files are not password protected: someone with the direct link could open them. They may also be attached or linked in the enquiry email. Please use the form only for ordinary furniture photographs and contact us first if you need to share confidential material.
Submitting a photograph for an estimate is not permission to publish your name, home or project as marketing. Any proposed identifiable customer story or other new use needs to be discussed separately.
Optional Google Analytics and Meta measurement
Where configured, Google Analytics (provided through Google Site Kit) measures visits and interactions. Meta Pixel measures visits and successful enquiries for Facebook and Instagram advertising. These providers may receive browser and device information, IP address, page information, identifiers and interaction events, and process information outside the UK. Meta may link events with information it holds to measure and personalise advertising. Campaign labels are also used in our internal lead report after optional consent.
Our custom enquiry conversion events exclude names, email addresses, telephone numbers, enquiry messages and photographs. We do not enable automatic advanced matching in this connector. The enquiry itself is delivered to our team even if you reject optional cookies. Read Google’s privacy policy and Meta’s privacy policy for the providers’ practices, and use Cookie preferences to change your choice.
05. Service providers and overseas processing
The website, email and backup services used to handle an enquiry determine where copies are processed. This notice does not promise that every copy stays in the UK. If a service involves a restricted transfer outside the UK, an applicable UK adequacy regulation or appropriate contractual safeguard is required, unless a legal exception applies. Contact us for details of the providers, locations and safeguards relevant to your enquiry, or to request a copy of applicable safeguards.
06. How long information is kept
We keep enquiry information while considering or carrying out the requested work, and afterwards only where needed for follow-up, aftercare, business records, legal obligations or a dispute. The appropriate period depends on whether an enquiry becomes an order, the nature and completion date of the work, our last relevant contact, applicable record-keeping requirements and any unresolved complaint or claim.
Photographs should be kept only while useful for those purposes. Saved enquiries do not automatically disappear after an email is sent. An administrator can delete an enquiry and its uploaded photographs; this cancels unsent workflow delivery and clears its queued copy, but does not delete copies already delivered to the workflow, an email inbox or backups, which need to be handled separately. Contact us to ask about the retention period or deletion of your particular enquiry.
The form’s abuse-prevention record expires after 15 minutes. The cookie preference expires after 180 days unless you clear it sooner. Optional campaign history in your browser lasts up to 30 days. Once associated with a submitted enquiry, campaign labels follow the enquiry’s retention arrangements. A minimal delivery reference is kept to prevent duplicates. Google and Meta retention also depends on their service settings and policies; ask us about the settings relevant to your visit. Hosting logs and backups follow the relevant service’s retention arrangements.
07. Your choices and rights
Depending on the circumstances and legal basis, you may ask to access your information, correct it, erase it, restrict its use or receive a portable copy. You may object where we rely on legitimate interests. If we ever rely on consent for a separate purpose, you can withdraw that consent without affecting processing carried out before withdrawal.
These rights have conditions and exceptions; for example, information needed to meet a legal obligation may have to be retained. Email info@dp-upholstery.co.uk with enough detail for us to locate your enquiry. We may need proportionate information to confirm your identity. We will normally respond within one month; if a lawful extension is needed, we will explain it.
If you are unhappy with how we handle your information, please contact us so we can investigate. You also have the right to complain to the Information Commissioner’s Office.
08. Changes to this notice
We will update this page when the website or the way we handle information changes. Please check the updated date. For a substantial new use of your information, we will provide further notice where required.
